What is a prompt?

A prompt is the question or instruction you give an AI service.

The prompt is what you type in the box. It can be a simple question or a longer instruction with background, the format you want and the tone.

A clear prompt usually gives a better answer. Saying who the text is for and what it will be used for helps more than technical phrasing.

Everything written in a prompt is sent to the service. If someone pastes a contract or patient details into a public AI service, the information leaves the organisation. It is one of the most common risks when AI is used without guidelines.

How it works

The prompt is rarely the only thing the model reads. Before it there is often a system prompt from whoever set up the service, and after it there may be documents the system has retrieved. The model sees all of it as one continuous text and answers from the whole.

Why it matters

The prompt is how staff actually steer AI. How they phrase things affects quality, and what they paste in decides which information leaves the organisation. Both belong in an AI policy.

Asking for an email about the meeting gives a generic reply. Adding that it goes to new staff, should be brief and should say where the procedure is kept makes it usable straight away.

What to keep in mind

A prompt may be stored by the service, sometimes for a long time, and in some services used to improve the model. Find out what applies before anything sensitive is typed in.

The same prompt can give different answers at different times. Check the answer before it is used any further.

What it means for you

Decide what may be written in which AI services, and give staff an option where sensitive information stays with you.

Common questions

Does the wording of a prompt matter?

Yes. A clear question with context gets a better answer. Say what the answer is for and which material applies.

Is it safe to paste documents into a prompt?

It depends on where the service runs. With public AI services, the text leaves your organisation. Never paste sensitive information into a tool your organisation has not approved.

What is the difference between a prompt and a system prompt?

The prompt is what the user types. The system prompt applies in the background to every conversation and is set by whoever built the assistant.
